How appointment statuses work

  1. BeYou365 includes several default appointment statuses:
    • Booked — The appointment has been scheduled in the calendar.
    • Confirmed — The client has confirmed their appointment.
    • Arrived — The client has arrived at the location.
    • Started — The service is currently in progress.
    • Completed — The appointment has been checked out and completed.
    • Cancelled — The appointment was cancelled by the client or your team.
    • No-show — The client didn't show up for their appointment.
  2. Statuses appear as color-coded labels on each appointment in your calendar, making it easy to see the current state of all bookings at a glance.
  3. You can create custom statuses to match your workflow, such as "In waiting room" or "Consultation done".

Update the status of an appointment

  1. Open an appointment from the calendar.
  2. Click on the status indicator at the top of the appointment view.
  3. Select the new status from the dropdown list.
  4. The status update is applied immediately — no need to save.

You can update appointment status to keep track of bookings at a glance and trigger appointment notifications for your clients.

Create custom appointment statuses

  1. Go to Settings > Calendar settings > Appointment statuses.
  2. Click the Add status button.
  3. Enter a name for the new status and select a color.
  4. Click Save to add the status to your list.
Some statuses are system defaults and cannot be edited, reordered, or deleted. These include: Booked, Confirmed, Completed, Cancelled, and No-show.

Edit or delete appointment statuses

  1. Go to Settings > Calendar settings > Appointment statuses.
  2. Click on the custom status you want to edit or delete.
  3. Update the name or color, or click the trash icon to delete the status.
  4. Click Save to confirm your changes.
