Create and manage group appointments
In this guide, you'll learn how to create and manage group appointments on BeYou365, allowing multiple clients to attend the same service together.
Create a new group appointment
- Click on the Add button in the calendar toolbar and select Group appointment.
- Add the first client by clicking Add client and select the service they'll be booked for.
- Click Add to group to add additional clients and their services to the same time slot.
- Click Save to create the group appointment in your calendar.
Create a group from existing appointments
- Open an existing appointment in the calendar.
- Click Actions (three dots) and select Add to group.
- Choose another existing appointment at the same time to group them together, or create a new appointment to add to the group.
- Confirm the grouping by clicking Save.
Remove an appointment from a group
- Open the group appointment from the calendar.
- Select the individual appointment you want to remove from the list.
- Click Actions and select Remove from group. The appointment will remain in your calendar as a standalone booking.
Edit an individual appointment in a group
- Open the group appointment.
- Click on the specific appointment you want to edit.
- Update the service, team member, or duration as needed. Changes only apply to that individual appointment — the rest of the group remains unchanged.
- Click Save to apply your changes.
Removing a group appointment
- Open the group appointment from the calendar.
- Click Actions and select Cancel group.
- Choose whether to cancel all appointments in the group or just the group structure (keeping the individual appointments).
- Confirm your choice. Clients affected by a cancellation will receive a notification based on your settings.
Cancelling a group appointment cannot be undone. Make sure to review affected clients before confirming.
Check out group appointments
- Open the group appointment from the calendar.
- Click Check out at the bottom of the appointment view.
- You can check out all clients together in a single transaction or process each client individually.
- Select payment methods, apply any discounts or tips, and complete the transaction.
